Often within an ITT, the buyer will include some background information about their organisation. It doesn’t hurt to go the extra mile and find out more about the buyer. Knowing more about who you are requesting to work with will give you a greater insight into their decision making. This way, you will know precisely why and what the buyer is asking.

As previously mentioned, it is important to understand the scope of work for your desired tender. It can be easy to lose sight of reality when you see an attractive opportunity. The job itself may suit your business but the location may be too far afield. You may be attracted by the budget but have other commitments in the start and end date periods. Having a unique selling point is essential. You must relay to the buyer what makes your business stand out from the competition. What makes you unique and what can you offer the buyer that no other supplier can? Perhaps it’s the experience in that particular type of event or your specialist resources. How is the UK currently investing in new creative contracts?

There’s no doubt 2020 has been a tough year for the creative sector. The pandemic has stunted a rapidly growing industry and forced many creative businesses to close their doors, or drastically adapt. Music venues are now providing socially distanced concerts, for instance. Some businesses, such as theatre companies, have remained closed with workers furloughed since March, with little or no respite.

It continues to be an uncertain time, heading towards 2021. However, major investments are now being made throughout the creative industries.

Here are some key examples of grants, schemes and programmes currently in place to revive the creative sector:

  • £1.57 billion – Culture Recovery Fund.

This is the government’s overall rescue package for the cultural and heritage sector. Thousands of organisations across a range of sectors can benefit from grants and loans. This includes the performing arts and theatres, heritage, historic palaces, museums, galleries, live music and independent cinema. For example, venues and organisations currently benefiting include:

    • Military Wives Choirs
    • The Hepworth Wakefield
    • Night and Day in Manchester
    • Whitby’s Tomorrow’s Ghosts
    • Gothic Festival
    • London’s Somerset House

  • £500 million – Film and TV Production Restart Scheme.

The scheme supports 40,000 UK jobs by covering Covid-19 related insurance costs. The scheme will provide financial compensation for costs incurred due to Covid-related issues.

  • £150 million – The Sector Deal.

The Government has agreed a Sector Deal with the creative industries sector, through the Creative Industries Council (CIC). This investment will unlock growth and a longer lifecycle for creative businesses in the following ways:

    • funding leading creative clusters to compete globally.
    • by funding technologies and content via research into augmented reality and virtual reality.
    • funding creative skills of the future via a careers programme that will open up creative jobs.
  • £75 million – National Lottery Project Grants.

Recently re-opened by the Arts Council with an increased budget, funding is available to creative individuals, communities and cultural organisations.

  • £18 million – Developing Your Creative Practice Programme.

Also re-opened in Autumn 2020 by the Arts Council with an increased budget. This programme helps creatives step up their work in new ways.

  • £3.36 million – Emergency Grassroots Music Venues Fund.

This is an investment in 135 venues at risk of imminent closure due to the coronavirus.

  • £3 million – Festival UK 2022 Research and Development Programme.

Research and development for 10 major creative projects began in November 2020. The 2022 festival aims to reach millions, bring people together and showcase the UK’s creativity and innovation globally. 30 creative teams will be drawn together from over 500 organisations and individuals, including freelancers, across the UK.

The Creative Industries Council (CIC) has identified nine core areas to improve through further research and development. These are:

  • Job Quality: While there is growing data on the number and growth of creative industries jobs, however, more insight is needed into job quality.
  • Strategic skills: The industry needs an accurate, refined future vision for which careers and skills are in highest demand, especially with the changes to the industry.
  • Creative education: There needs to be a stronger system for capturing and reporting the value of creative education.
  • Pipeline of talent: Better visibility into the talent pipeline and into career progression is required.
  • Creative professional development: the industry needs a better understanding of opportunities for professional development and learning.
  • Productivity and management practices: Compared to other industries, there’s a lack of evidence about productivity in the creative industries.
  • Tackling the diversity challenge: Better evidence is needed on the representation of all minority groups, and for data that goes beyond participation to explore the quality of work.
  • Local talent pools: The UK is lacking evidence on local skills and talent pipelines and how these meet the needs of local businesses.

As the updated portal is currently in development, here is a brief overview of what to expect from the new system:

The look

As you may already know, we recently rebranded the Hudson Group. Our new look is sleek and modern – therefore, our portal will be redeveloped to match.

Dynamic inter-trading

Procuring services will be even easier. Buyers will simply upload their specification and select which tendering portal they wish to target.

For example, if an accountancy business needs a new website, they can upload their specification on the new ‘Post a Project’ section and simply tick a box to send the opportunity to ‘Creative Tenders’.

Team collaboration

The new systems will allow users to assign tenders to their colleagues. Once the bid is submitted, the team can mark the tender as complete in the new ‘My Tasks’ section. This will allow for consistency across teams and increase efficiency when bidding for contracts.

User details can also be managed in the ‘My Profile’ tab. This enables the user to add or remove colleagues in just a few clicks, change passwords and update business details.

Industry collaboration

At Hudson, we believe that everything is better when we work collaboratively. We know that our clients share the same belief. Our new tendering portals will allow users to ‘opt-in’ to collaborate with other businesses.

Procurement Policy – Major Market Research Project!

Hudson Procurement Group is currently undergoing a major research project into how businesses supply government and publicly funded bodies, in a bid to create an open, fair and transparent process by anyone spending public purse.

As part of our long-term growth strategy, we will be launching our Procure Smart platform. This research will be used to inform our knowledge as we move into our next venture – dispelling the myths and overcoming the misconceptions surrounding tendering and procurement, for all.

Whilst conducting this research we will be assessing how and where tender opportunities are published in the wider public domain. In our early stage investigations, we have discovered mass confusion amongst both buyers and suppliers regarding terminology and procurement policy, we want to eliminate this and produce these findings to advise both sides of the buy and supply table.

One of the main aims of this research project and long-term goal for Procure Smart is to gain clear insight into public spending. Through our own exploration, we have uncovered some confusion surrounding freedom of information policy requests, mainly what is available and what is not.

As mentioned in our most recent NEWS, Tender VLE will be the UK’s FIRST FREE bid writing training platform. The site will consist of video-led masterclasses, delivered by our expert, in-house, bid management team.

Additionally to the main site, we will also offer a LinkedIn forum service.

What will the forum be used for?

  • Asking questions – After watching any of our videos on Tender VLE, should you still be left with unanswered questions about any of the topics – this is the place to go! Simply join the forum and ask away. One of our tendering experts will respond as soon as possible.

We have spoken about this new project in many of our recent blogs – but what can it do for you?

Who will benefit?

Tender VLE considers three tiers of experience when it comes to procurement training. We have modified our content to adhere to different levels of understanding that we have categorised as;

  • Start – Complete beginners guide when it comes to tendering and procurement.
  • Develop – Familiar with the processes and may have even undertaken a role in the procurement system previously.
  • Excel – This section refers to those who may already be working as Bid Writers or as part of a wider bid management team.

What is it?

 Tender VLE is an online procurement training platform. It’s the first of its kind as it is completely FREE TO USE! The site will contain video-led masterclasses, delivered by our, in-house, procurement experts, comprising of;

Daniel has multiple years’ bid writing experience, which is exemplified by his first-class degree in English and has never scored lower than 85% quality score during his Bid Writing career. He will be the first instructor to deliver expert-level content that covers the basics during our launch period and more advanced content throughout.

Director and Co-Founder, Jill has over 16 years of experience working as a Bid Writer. She has secured hundreds of contracts for suppliers across multiple industries including Creative industries, the Technology sector and Engineering firms.

At Tender VLE, our vast experience tells us that the presentation of the bid can be one of the deciding factors between a success and failure. BID SUPPORT – BREAKING DOWN THE QUESTION

Bid Support – Breaking down the question

If you do not know what the question is asking – this is your first hurdle.

In order to jump that hurdle, carefully examine what kind of question it is.

Although there are hundreds of question variations out there, our bid support allows you to tackle every question you get through a very simple breakdown technique.

Does the question have (what it seems like) 10 questions in one? Does it look something like this:

EXAMPLE 1:

Please explain your risk management procedures, including what risks you feel are vital to overcome as part of this contract, as well as monitoring and mitigation approaches you would use. Please detail who will manage said risks and provide examples of where you have overcome similar risks.

This question asks for a lot of information and the first step to jump this hurdle, is to tackle it bit by bit. We break this question down into more manageable chunks, allowing clear-cut focus on every aspect of the question, making it easier for the evaluator to mark us against their evaluation criteria. We have pinpointed these out and, as part of our bid support, always encourage you to write out sub-headings to manage this effectively. Such as:

General Risk Management Procedures

Contract-specific risks

  • Risks
  • Monitoring
  • Mitigation

Risk Lead

Risk Management Experience

Under each subheading, you can then start to write your content.

Sometimes, however, the question is not that easy to break down and maybe a lot smaller, making the whole manageable chunks scenario more difficult.

Does the question ask you to explain, describe, or provide detail of a process and/or situation? If so, this is a useful way of the buyer seeing how well you respond to this and how you’re reacting to their requirements.

Open questioning allows the buyer to ask for a lot of information with a short question.

EXAMPLE 2:

Describe how you manage risks?

This question is 5 words long; however, your response limit can be in excess of 5,000 words, dependent on your offering and sector.

The management of risks may have reams of information attached to it. The important thing to do is break this down into smaller subheadings and further questioning.

Sometimes the buyer can be quite extensive in their evaluation guidance and based on this, you may already have your subheadings laid out for you, dependent on what the buyer is looking for/marking during the evaluation stage.

If the evaluation guidance doesn’t provide much detail – then look at the specification and make sure you fully understand what the client is looking for, so you can start breaking your response down into further discussion points.

For example: Your subheadings for the above example may be;

  • Recognising Risks– detailing how you identify/assess risks?
  • Monitoring Risks– what system you use to track these risks?
  • Risk Responsibilities– who maintains responsibility for managing risks?
  • Mitigating Risks– what do you do to mitigate said risks?
  • Risk Reviews– how often do you review these to adapt to change?
  • Contract Risks– what you feel are the top risks for this particular contract?
  • Compliance– what national standards/best practice do you comply with?

These are merely seven subheadings you can write about when drafting your response.

Depending on what the contract is for and the specification included – there could be a whole load of various points you need to discuss.

Bid writing support can be varied and contradictory – that’s why we invented the DAPCAS model, to boil down the tendering process into its most simplistic formula. Here is a short breakdown to outline the parameters of the model.

D is for Decipher

Before you start tendering you need to decipher the opportunities that you want to go for.

Do NOT just go for any opportunity in the hope of being successful. This is not only a waste of time and money but weakens your overall tendering approach.

When starting any business, these are some of the questions you need to ask yourself, so that you understand your place in the market and set defined goals to succeed in tendering.

Start by asking yourself three simple questions; What services do you ideally want to deliver? Where do you want to deliver these services? and Who is your ideal buyer?

Once you have the answer to these questions, you then need to source the relevant opportunities. You can do this by signing up to our sector-specific portals, where you can receive daily tender opportunities that remain specific to your service/offering. Our service will signpost you directly to the client/buyer via published notices across the thousands of websites/portals that remain across the UK alone.


A for Assess

To bid or not to bid. That is the question!

After you have deciphered what you want to start tendering for, and you have sourced an opportunity, you then need to conduct an assessment to make sure it is 100% worthwhile.  Remember the contract title doesn’t tell you everything!

A few questions to try answering, in order to gage the feasibility of the bid are; Have you delivered work like this before? Do the opportunity outcomes align with your long-term strategy? Is it financially viable? What is your USP in the market sector?

P for Plan

One of the deciphering factors, as to whether your bid will be successful, is the planning of the whole tender process itself.

Each tender is different and in turn, the planning must evolve to match the specification. You should define clear-cut milestones for what needs to be actioned, when and who is responsible for the deliverables.

The volume of an Invitation to Tender (ITT) can range from half a page to 100 pages long and contain pertinent information that it is imperative to consider. Our bid writing support experts advise that each document should be read one by one with the following aspects in mind;

  • Reading Instruction – You should over-allocate time for this step as the instructions should contain everything from practicalities such as where to submit the tender to design requirements for word count, font size and style.

 

  • Submission Deadline – Obviously this is a crucial aspect as tender deadlines are very strict, a delayed submission of one minute could result in the dismissal of your bid.

 

  • Clarification Deadline – Some aspects may be unclear or missing from the specification, this is your chance to ask questions so also keep a note of this deadline.

C for Compose

Business owners/managers may not have the time, skills or resource to pull together a high-quality bid that is concise, detailed and exceeds buyer expectations. Writing is not everyone’s cup of tea – especially when you operate a fully functioning business.

Hence the reason why bid writing support exists and our Tender Consultants offering is highly sought.

However, should you wish to carry out the writing process yourself, there is one fail-safe process to ensure high-quality results. The PEE method;

  • POINT – This is where you state what you are going to do, or what you are already doing. This should be clear and concise.

 

  • EXPLAIN – As it says on the tin, explain how you are going to deliver the desired outcome.

 

  • EVIDENCE – It is no good talking about achieving something if you can’t back-up the fact that you have already accomplished something to demonstrate that you are a worthy winner.

A for Analyse

This step is something that remains an absolute necessity throughout the tendering process. We advise that you create multiple drafts and have them reviewed by multiple colleagues or be even more thorough and ask a new employee to read over the document to ensure that the inner workings of your company can be understood by somebody with little prior knowledge of your structure and function.

You should never assume that the reader shares the same depth of knowledge about your company as you.


S for Submit

 As simple as this step might sound, to a tender newcomer, it can be very daunting. You should take thorough precautions to ensure that your bid is submitted within the deadline.

If the bid is due in at 13:00 and you submit it at 13:01 – you’re out!

Once you have successfully submitted the bid you should always receive some form of acknowledgement that the bid has been received, this is most commonly done via email or an online portal.
